Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team.
The ideal candidate will be responsible for managing various administrative tasks, including coordinating with labs, DSOs (Dental Service Organizations), vendors, managing inventory, handling order follow-ups, and providing essential accounting support.
Additionally, the Administrative Assistant will closely collaborate with the Marketing team to ensure that our branding remains consistent and compelling, collateral materials are updated regularly, and our industry positioning is strong and competitive.
Key
Responsibilities:
Email Management:
Efficiently handle and follow up on emails, ensuring timely responses and accurate communication.
Vendor and Lab Coordination:
Facilitate communication and coordination with vendors and laboratories, ensuring timely deliveries and order accuracy.
Inventory Management:
Maintain inventory levels, conduct regular checks, and update records to ensure adequate stock levels.
Order Follow-up:
Keep track of orders and shipments, follow up on outstanding orders, and address any issues or discrepancies as needed.
Accounting Support:
Assist in basic accounting tasks, such as expense tracking, invoice processing, and account reconciliation.
Collaboration with Marketing:
Work closely with the Marketing team to support various initiatives, which may include assisting with presentations, content creation, and marketing event coordination.
Software Proficiency:
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Office 365 applications to handle various administrative tasks effectively.
Qualifications:
Previous experience in an administrative or assistant role preferred.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Basic accounting knowledge is a plus.
Ability to work well in a team and collaborate with various departments.
Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
Self-motivated with a proactive approach to tasks.
Detail-oriented with a commitment to accuracy.
Education:
High school diploma or equivalent (bachelor's degree preferred).
Pay range:
55k - 65k a year.
Medical insurance and paid vacation.
Work hours are Monday through Friday 9 am to 5 pm.
